Terrawave Radar Solutions Inc. (“TerraWave”, “we”, “us”) respects your privacy and protects the personal information you entrust to us. This policy explains how we collect, use, disclose and protect personal information when you use the TerraWave app for iOS, Android and the web (app.terrawave.ca), and TerraWave Gateway devices and sensors (together, the “Service”). Our website, terrawave.ca, has its own notice.
By using the Service you consent to the collection, use and disclosure of your personal information as described here. You may choose not to provide some information, but then we may not be able to provide the related features. Your device asks your permission before the app uses your location or camera.
Key terms. “Personal information” is information about an identifiable individual; it does not include aggregated or de-identified information that cannot be linked to a person. A “farm” is the account space of a business or operation using the Service, with its members, yards, bins and gateways.
1. Information we collect
We collect only what is reasonably needed to provide the Service.
- Account and profile: your name, email address, role, farm name, and optional details such as a phone number and job title. Sign-in is handled by Amazon Cognito; we never see your password in readable form. Face ID or fingerprint unlock stays on your device.
- Farm information you enter: yard and bin names, their map coordinates, grain and crop details, settings, alert preferences and time zone. If you invite team members, we store their email addresses and roles.
- Gateway and sensor data: readings from TerraWave Gateways and sensors on your bins (for example radar distance, fill estimates and temperature), device status (battery, signal, position when reported) and device events.
- Your phone’s location: only while you are using the app, to centre the map and search for places near you. We do not store it. It is sent to Google (Places) and MapTiler as a search hint.
- Camera: only to scan the QR code on your TerraWave Gateway during setup. We do not take, keep or upload photos or video.
- Notifications: a push notification token, and your email address for email alerts and account emails.
- Your messages to us: emails, problem reports and feedback you send, and your requests made through the Service.
- Crash reports: if crash reporting is on, our crash service (Sentry) receives technical details of a crash, the screen you were on and an anonymous account ID. It does not receive your name or email, and it does not record your screen. You can turn it off in Help & Information.
We do not collect payment card details (the app does not process payments), your contacts, microphone, photo library, advertising identifiers, or your location in the background.
2. How we use personal information
- to set up, administer and maintain your account and your farm’s members;
- to provide the Service: show your bins on the map, fill levels, history, analytics and alerts;
- to keep gateways working: monitor device health, troubleshoot and support;
- to verify your identity and keep accounts secure;
- to respond to questions, requests and complaints, and to keep a record of our communications with you;
- to send service messages such as alerts, invitations, password resets and announcements about the Service (we send promotional messages only if you agreed to receive them);
- to analyze and improve the Service and our radar processing, fix crashes, test, and do research, using de-identified data where possible;
- to meet legal and regulatory requirements.
Our staff may access personal information only as needed for these purposes.
3. Who we disclose it to
- Other members of your farm, according to their role (Admin, Manager, Writer or Guest). Your farm’s Admins decide who is invited. We are not responsible for how members of your farm use what they can see.
- TerraWave personnel, when needed to provide support and keep devices working. TerraWave’s own organization may hold a standing claim on a TerraWave Gateway for monitoring and support. This does not make the gateway unavailable to you, and it is limited to personnel who need it.
- Service providers that perform functions for us under confidentiality terms: Amazon Web Services (hosting, sign-in, database, email and device connectivity); Expo, Apple and Google (delivering push notifications); Sentry (crash reports); Google Maps and MapTiler (maps and place search).
- Others when you consent, when someone is acting as your agent in our reasonable judgment, or when the law requires it.
- A successor, if TerraWave is reorganized, merged, or sold in whole or in part, provided your information continues to be used only as this policy allows.
We do not sell personal information and we do not share it for advertising.
4. Where it is kept
Your information is stored and processed in the United States (Amazon Web Services, US East). If you are in Canada, it is therefore also subject to United States law.
5. How we protect it
We use appropriate safeguards against loss, theft and unauthorized access, use or disclosure: access limited by farm and role, passwords and optional two-step verification, encryption in transit (HTTPS) and at rest, and our hosting provider’s security controls. Staff who can see personal information are made aware of its importance, and providers are bound by contract to keep it confidential and use it only for our purposes. We dispose of information carefully. No system is perfectly secure, and we cannot guarantee that loss or unauthorized access will never happen.
6. How long we keep it
- Account and farm information: until you delete your account or your farm.
- Detailed gateway readings and device events: 90 days in our live database (some diagnostic radar data 14 days). Raw gateway readings are then kept only in our archive.
- Archive of raw gateway readings (Amazon Web Services storage, US East): as long as needed for history, analytics and improving our radar processing, then deleted or de-identified.
- Crash reports: about 90 days.
- After you delete your account: your profile and preferences are deleted. If you were the only member of a farm, the farm, its yards and bins are deleted too and its gateways are released so they can be set up again. Gateways and their device data stay with the gateway, without your name or email; a device record may keep the deleted farm’s internal ID number, which no longer points to anything. History linked to the farm expires within 90 days.
7. Accuracy, access and your choices
We keep personal information as accurate and complete as is needed. You can review and update your profile in the app. On request, we will let you review your personal information, give you an account of how we have used and disclosed it, and correct what is inaccurate, within 30 days and at little or no cost.
- Delete your account in the app: Settings > Delete account. If you are the only Admin of a farm that has other members, make another member Admin first.
- Crash reports: switch off in Help & Information.
- Location, camera and notifications: change in your device settings at any time.
8. Withdrawing consent
You may withdraw your consent to the collection, use or disclosure of your personal information at any time, subject to legal or contractual restrictions and reasonable notice, by emailing us at the address below. Deleting your account is the simplest way. Withdrawing consent may mean we can no longer provide parts of the Service.
9. Complaints
We will promptly investigate any complaint about how we handle your personal information, tell you the outcome, and take appropriate steps, including changing our practices, if the complaint is justified. You may also contact the Office of the Privacy Commissioner of Canada.
10. De-identified information, cookies and tracking
Gateway readings may be combined and de-identified (for example to improve radar fill-level accuracy). That information does not identify you, and we may keep it. The app does not use advertising or analytics trackers, and does not track you across other apps or websites. The web app keeps your sign-in session in your browser’s storage until you sign out.
11. Children
TerraWave is for people who run or work on farms. It is not directed at children, and we do not knowingly collect information from children under 13.
12. Changes to this policy
We may update this policy as our services, technology and the law change, and we will change the date above when we do. If we make a significant change, such as using personal information for a new purpose or disclosing it to a new type of third party, we will give you at least 30 days’ notice in the Service or by other reasonable means.
